Learn about the new Kicksite Prospects List

At Kicksite, we enthusiastically support the mission of bringing the joys and benefits of martial arts to as many people as humanly possible. We also understand that in order for our customers to do that, they need to be bringing in leads and ultimately converting them to students.

Sometimes that feels a lot easier said than done. But with our latest big development project, we’ve made some major strides forward in providing an enhanced Prospect management experience so that nurturing leads is more organized, efficient, and flexible for you and your staff.


Today we are officially rolling out the uplifted Kicksite Prospects list to all users! But trust us when we say this is far more than just a list. Below we’ve highlighted some of the key features and updates you’ll find as you manage your martial arts school’s Prospects in this new system.

TWO VIEW OPTIONS | TABLE AND BOARD

When we decided to pursue an uplift of our Prospects list, we immediately knew we wanted to create a default ‘Board’ view similar to what you commonly see in lead management or project management systems. Sometimes referred to as a Kanban board, this type of layout offers a more visual representation of a Prospect’s movement through your sales funnel through a series of columns and cards. More on these things later!

But we also wanted to provide flexibility. We know not every school manages their leads in the same way, and many Kicksite users have become accustomed to the Prospects List that has existed in our martial arts software for a while now. So, rather than completely ditch the List view, we instead decided to amp it up as well, and introduce some new elements that make it easier to organize and customize through the Table view.

CUSTOMIZABLE LEAD STAGES

With the new Kicksite Prospects list, there are four default lead stages:

Lead

Qualified

Appointment

Trial

However, this is another instance where we knew we needed to make these lead stages flexible and adaptable to each school’s unique methods and processes. Lead is the only default stage that can’t be deleted or moved. Trial can’t be deleted, but can be moved. Beyond that, you’ll have the freedom to make these stages work best for you! 


You can rename, color-code, and reorder these stages, and even create brand-new stages if you have additional activities or processes you want to track. Stages are reflected in both the Table and Board views, as a dropdown selector for each Prospect on the Table and as columns that hold Prospect cards on the Board.

DRAG AND DROP FUNCTIONALITY

Speaking of those columns and cards on the Board view: we’re super excited to give Kicksite users the ability to simply drag and drop a Prospect from one Stage to the next! The ability to drag and drop cards is a fairly universal and critical component of lead and project management boards, so it only made sense to let you all have that capability too. Plus, it’s just a pretty satisfying feeling dragging a Prospect all the way through those columns and watching them turn into a conversion! You can also drag cards vertically within a column to reorder them if you want to adjust follow-up priority for you and your staff.

LEAD PRIORITY INDICATORS

On both the Table and Board view, you’ll notice that you now have the ability to establish a lead’s priority. The Lead Stage options are pretty straightforward and, again, pretty universal when it comes to lead management:

Hot – Ready to commit and/or highly communicative

Warm – Don’t show as much urgency, but may just be in the early stages of shopping around and need a bit of nurturing

Cold – Low urgency, little to no communication, will require intensive follow-up and nurturing 

While the above are general guidelines for each Priority level, for the sake of consistency you may want to establish specific internal criteria for what constitutes a Hot, Warm, and Cold Prospect at your school. All Prospects that enter your system will be set to Warm, but you can change their Priority status at any time on either view!

CARD DETAIL DISPLAY OPTIONS

Rounding out the Board view are cards for each Prospect. By default, these cards include the name of the Prospect, the most recent comment that has been added, and an icon representing that Prospect’s Priority level. But, one key piece of feedback we received from several beta testers was that many wanted an option to include even more detail.

We heard that feedback loud and clear and implemented the ability to also show the date and time of any appointments that have been scheduled with the Prospect, as well as how much time they have left in their Trial. These settings are customizable for each stage and easily toggled on and off!

UPLIFTED DASHBOARD REPORTING

We couldn’t just build out this really cool, visually-focused new prospecting board without also building out some really cool, visually-focused new Dashboard data. After all, your Kicksite Dashboard is the central hub of your martial arts software. Having a helpful, easily scannable representation of your leads and their status is pretty important! 

Now when you click the Prospects tab on your Dashboard, you won’t just see a list of names. First, you’ll see a comprehensive summary of your Lead Stages, showing how many Prospects you currently have in each stage, coupled with a breakdown of their Priority status. You’ll also have a quick view of how many new leads you’ve had in the past 7 days, with the ability to click through and view them in more detail. 

Below that, you’ll see a couple charts. One is focused solely on Stage Distribution, while the other outlines your overall Priority Distribution. They may be simple, but we love how the colors and visualizations offer up a quick and easy snapshot of your Prospect information.
