How to Prorate a Membership

If you prefer to charge your Students or Members on the same day every month, chances are they choose to sign up on days other than that exact one.

In these cases, there’s a period of time between the normal billing date and when they sign up. You wouldn’t want to charge them a full month’s rate for that time – this is where prorating comes in.

How Does Prorating Work?

Prorating can be turned on for Memberships on individual Landing Pages, and can also be turned on in the last step of the Student Sign-Up flow.

Keep the following in mind:

  • Only unlimited-duration, month-to-month Memberships can be prorated.
  • If Discounts are applied, they will apply to the first full billing cycle invoice, not the prorated one.
  • If there is a Registration Fee, it will be part of the prorated invoice, but not reduced in price.

How to Prorate in Student Sign-Up

  1. Follow the usual steps for Student Sign-Up, up to the last page.
    • Remember only unlimited-duration, month-to-month Memberships can be prorated.
  2. After selecting the Membership Start Date (most likely today), toggle on Prorate.
  3. Choose the Billing Date you want to run their first full price billing.
    • This will be the day they are billed on going forwards. For example, some schools like to bill on the 1st or 15th.
  4. The system will calculate the price per day, and total prorated amount, based on the Membership Price farther up on the modal.
    • If the Membership price is adjusted, the prorated amount will also adjust.
    • Admins can fully override the prorated price – if they do this, it will no longer be calculated on a per-day basis and will not change based on the Membership’s price.
  5. (Optional) Turn on or off the Registration Fee.
  6. (Optional) Apply any discounts.
  7. Click Complete Sign-Up. Then, collect payment immediately or close out to pay later.
    • If you click Pay Now, only the prorated invoice (with Registration Fee, if applicable) will be charged.

How to Enable Prorating on Landing Pages

  1. Follow the usual steps for creating a Landing Page.
  2. After selecting the Membership(s) you want to allow registration for, toggle on Allow Prorating.
    • If a Membership doesn’t display this toggle, it’s ineligible for prorating (it must be unlimited-duration, month-to-month)
  3. Set the date all Recurring Billings for that Membership will run on.
    • For example, if you select 15th of the month, someone who signs up on the 9th will pay for the 6 days until then, then pay full price beginning on the 15th.
  4. Click Add or Save to finish.
